This privacy statement was drawn up by Ringphone and concerns the data collected via company website(s) (www.ringphone.com) and via applications (yourAgenda, myOrganizer, appointment modules) that are made available to customers (doctors, healthcare providers, ...)

This privacy statement is from Ringphone BV, Ten Briele 12/9 8200 Brugge, (hereinafter referred to as: 'Ringphone BV').


The protection of your personal data is of great importance to Ringphone BV. With this privacy policy we would like to inform you about the measures we have taken to guarantee the protection of your personal data in accordance with the GDPR.


1. The role of Ringphone BV

On the one hand, we act as controller for the processing of personal data in the various systems and procedures applicable within our company. We also process personal data in the context of providing services to other parties. For this processing, a processing agreement is concluded with each party in the context of the transfer of personal data.
In any case, we take the necessary technical and organizational measures to ensure the protection of your data with the highest quality.

Ringphone BV is a Controller of the personal data that you (data subject) provide to us. We collect the following types of data from you:
We collect via our online appointment tool

  • Name
  • First name
  • Date of birth
  • phone number
  • E-mail address
  • A free field for comments or additional information

4. How is your data collected from us?

We collect your data in the following ways;

  • Via telephone contact with the telesecretariat or with a Ringphone customer
  • During your visit to a Ringphone customer (e.g. make an appointment at your doctor's secretariat)
  • Through appointment widgets and modules on customer websites
  • In the appointment form on our website


5. Why do we need your data?

All personal data will only be used for our standard business operations and the provision of our services. This is in line with Article 6 of the GDPR, which describes the legitimate interest of the controller.
We need your personal data to provide you with the following services:

  • Managing our customers' agendas
  • Professional contact by telephone

6. Digital Media

The aim of our website is to keep you informed about our business activities and results achieved. To ensure that our website functions optimally, we use various technologies that support us in this regard. Such as cookies.

7. How long do we keep your data

We store your data as long as there is an active collaboration between Ringphone BV and its customers/suppliers/... up to 5 years after the active collaboration took place. After this period, your personal data will be deleted from our systems. If you wish to have your data deleted earlier, without violating the legally specified deadlines, you can always request this by contacting us by email atprivacy@ringphone.be.

8. Transfer to third parties

The information you leave with us will not be sold or rented to third parties or parties that are not part of Ringphone bvba. If we consider it appropriate to pass on your data to other parties, we will request prior permission and inform you about which data we will transfer for this purpose.


If we use external processors at Ringphone BV, the transfer of data will always be determined in a processing agreement. This will ensure that processors will never further use your personal data on their own initiative.

Ringphone BV does not engage in profiling and there is no fully automatic processing of your personal data that provides a profile of you.


11. How do we protect all this data?

We take the necessary measures on both a technical and organizational level. On a technical level, we ensure, among other things, that our employee devices are encrypted, we work with a sound password policy and a correct determination of the rights for our users, so that the right person only has access to the data they need to see . The rooms where the data is stored are equipped with an access control system. On an organizational level, we have drawn up various procedures and guidelines that apply to the entire organization. This includes information security policy and clear guidelines regarding responsibilities and authorities.
